MTA Library Policies

Library Environment Policy 

Effective Date: December 2009

Purpose 

To provide a comfortable and welcoming learning environment for all library users and to ensure the protection of library materials, equipment, and furnishings

Food & Drink

  • Consumption of alcohol, tobacco, marijuana and e-cigarette products (or similar) are prohibited in the Libraries
  • Food and drink, within reason, may be consumed at study tables, in group study spaces, and at study carrels in the R.P. Bell and Music Libraries
  • Food and beverages are not permitted in the Archives and Special Collections Reading Rooms or while consulting special collections materials 
  • Consideration by all must be given to keeping the building a welcoming, comfortable, and hygienic space. Deposit waste in the appropriate wet/dry waste containers and notify Library staff of spills immediately

Scents

The chemicals used in scented products can make some people sick, especially those with fragrance sensitivities, asthma, allergies, and other medical conditions. While a 'scent-free' policy is not in place, the Libraries & Archives requests that guests be mindful of shared spaces

Eligible Borrowers

The following peeps are eligible for library memberships and are subject to the borrowing terms included herewith: 

  • MtA Undergraduate (incl. Honours) Students
  • MtA Staff, & Faculty (incl. retired and emeritus)
  • MtA Alumni
  • Local area (Westmorland & Albert Counties) community members
  • Temporary Tantramar region visitors 
  • Local high school students (with parental consent if <18) 
  • CAAL Undergraduate & Graduate Students, Staff, Faculty 
  • CURBA Undergraduate & Graduate Students, Staff, Faculty

Suspension of Borrowing Privileges

MtA Library borrowing privileges, including Novanet and Interlibrary loans, may be suspended for any users with overdue and/or replacement fees 

Student Accounts Blocked

Undergraduate student accounts with outstanding Library fines or fees may be transferred to MtA Finance; resulting blocks may impact course selection, grades, graduation, and transcript requests

Auto blocks // can the user PLACE requests when blocked? 

How the process works:

  1. Each day all user groups are searched for lost books, at home or in a linked library. When one is found, their job category at their home institution will be changed to Linked User - No Novanet Privileges. This will prevent the user from borrowing at their home library or at any linked libraries. The job category can be updated manually at either the home library or linked libraries if you make an exception to override.

  2. Each day all user groups with Job Category = Linked User - No Novanet Privileges is checked for lost books. If the user has no lost books from any Novanet library, the job category at the home institution is restored to the original. That change will appear at the linked libraries when the user is searched at the home library and refreshed.

Laptop Lending Policy 

Effective Date: 1 January, 2023


Eligibility

Current Mount Allison University students, faculty, and staff with valid MtA ID may borrow laptops

Availability

Laptops include the charging adapter and a carrying case and are available on a first come first served basis. Holds and advance requests are not permitted. A limited number of laptops may be reserved for users referred by Student Services

Liability

The user agrees to assume all legal liability for the cost of repair or replacement in the event of loss due to theft, damage, negligence, or misuse.

The Library will not assume responsibility for lost files due to viruses, hardware failure, and network interruptions. Files and work remaining on the laptop after return may not be recoverable

Laptop Loan Agreement Form

The Laptop Loan Agreement Form LINK must be read and signed prior to each laptop loan. Forms are kept on file until the end of the following academic year (31 August)

Loan Information

  • The loan period is seven (7) days
  • Up to three (3) renewals may be permitted depending on demand. Renewals must be requested in person at the Access Services desk with the equipment present
  • Returns must be in person at the Access Services desk

Fines

Overdue fines will accrue at the rate of $5.00 per hour to a maximum of $200.00. After seven (7) days overdue the item is considered lost and replacement fees will be applied to the user's library account. Fees will be transferred to the Registrar's Office prior to the end of term.

Replacement and Damage Fees

Laptop: $1500.00    Adapter: $100.00    Case: $20.00

Damaged items will be assessed for possibility of repair; a repair fee up to the replacement fee will be levied in this case.

Interlibrary Loans Policy

Purpose 

Interlibrary loan (ILL) service obtains library materials not available in the MtA libraries

Eligibility 

Current MtA students and staff, current and retired faculty, MtA Alumni, and registered community borrowers may request ILLs. Users with overdue loans and outstanding fees/fines may be blocked

What can be ILLed 

Most research materials may be requested. Ebooks cannot be borrowed (a single chapter copy or a loan of the print version may be possible)

Copy Requests 

Copy requests must follow the Fair Dealing exception  of the Canadian Copyright Act   

Notifications 

All notifications are sent via email to the MtA address (or email address on file for community borrowers & alumni). Copies will be emailed as a downloadable file unless restricted by license terms. Loans must be picked up at the R.P. Bell Library within 10 days

Loan Periods and Usage Restrictions 

All loan terms are set by the supplying library but are typically 3 to 6 weeks. Any restrictions imposed by the lending library must be honoured (eg. “library use only”)

Renewals 

Renewals must be requested through MtA ILL (only the supplying library can approve a renewal and if granted, they set the renewal terms)

Returns 

Must be returned on or before the due date to the R.P. Bell Library

Fees & Fines 

  • There is no cost for requests (fees are subsidized by MtA Libraries)
  • Damages caused by the user will be assessed by the supplying library and invoiced at their discretion  
  • Lost item replacement fees are determined by the supplying library

Events and Displays Policy

Applicability 

Non-Library sponsored events and display material including posters, information sessions, and events

Eligible Displays and Events

  • Must be sponsored by:
  • May not involve the sale of items
    • Bake sales may be held on a “donations-only” basis
  • May not disrupt the Library's learning environment 
  • Cannot conflict with regularly scheduled Library displays or events

Permissions

Contact  circ@mta.ca to enquire about space for hosting events and and approval for posting visual materials. The Library reserves the right to deny requests



Purpose 

To provide guidelines and consistencies on the uses of MtA Libraries spaces


The R.P. Bell Library welcomes faculty, staff and students to use the library as a space to display your work, host information tables, and promote Mount Allison groups, societies and issues

Displays, information tables or other events should be consistent with the following guidelines:

  • Be sponsored by a registered Mount Allison University club or society; or by students involved in a class-related project; or by faculty, staff or groups involved in Mount A events or research
  • Not involve the sale of items. The library is a non-commercial space, and aside from the Flying Bean Café, the sale of items within the library is restricted. Bake sales may be held on a “donations-only” basis
  • Not disrupt study. The library’s first priority is to maintain a welcoming, comfortable study space with equitable access to information and knowledge; the right to privacy; and an environment that fosters intellectual & academic freedom and the integrity of scholarly research.   • Not conflict with regularly scheduled library displays or events

If you would like to hold an event in the library or if you have any questions about events, please contact circ@mta.ca. Please provide a minimum of one week’s notice for proposed events. The Library reserves the right to deny requests
