Interlibrary Loan and Document Delivery at MTA Libraries

ILL Help: How Tos and Troubleshooting

What's in this guide: 

How to log in to your ILL account:   

Login: MtA Employee/Student ID# (for older MtA accounts barcode beginning 1200)

Password: Your 4 digit library PIN 

Don't know your ID # or PIN? Email ILL. ID#s may also be found by logging in to CONNECT@MTA (See Troubleshooting below for further login solutions) 

 

 

Placing requests from known citations    

  • Log in to your ILL account
  • Choose the request type from under 'Add Request' at top left
  • Enter your citation details (eg. title, author, article title, year, edition, volume, issue, pages) 
    • Note: the form has several fields that are not applicable, asterisks indicate required fields. We will contact you if we need more information or have questions about your request
  • Add any request notes and/or a need by date (ie. cancel if not received by date) if applicable
  • Confirm your contact information (using the same email for messaging and delivery is recommended) and select 'Mt.Allison ...' as the pickup location for loans
  • Agree to terms of use and click Submit. You will see receive an email confirming the ILL request details.

 

Placing requests in Novanet

  • Sign in to your library account in Novanet (if you have not already done so)
  • Scroll to the Services section of the item record, click ‘How to get it’, then ‘Request document via’ (See 'Troubleshooting' if you do not have links to ILL) 
  • The citation should import into the form, use the 'Patron Notes' field if further details are necessary and/or a need by date (ie. cancel if not received by date) if applicable
  • Confirm your contact information and select 'Mt.Allison ...' as the pickup location for loans (copies are emailed)
  • Agree to terms of use and click Submit. You will see receive an email confirming the ILL request details

 

Placing requests in library databases    

  • If full text isn't available using the Find Full Text @ MTA / Find @ MTA links, click 'Request document via Interlibrary Loan' 
    • Also confirm we don't have access via print using 'Search Paper Journals @ MTA' prior to submitting ILLs
  • If there is no ‘Find Full Text’ or ‘Look for a copy’ link, follow the instructions above for ‘Already have a citation’
  • The citation should import into the form, use the 'Patron Notes' field if further details are necessary and/or a need by date (ie. cancel if not received by date) if applicable
  • Confirm your contact information and select 'Mt.Allison ...' as the pickup location for loans (copies are emailed)
  • Agree to terms of use and click Submit. You will see receive an email confirming the ILL request details

 

Placing requests in Worldcat Discovery

Search just MtA Libraries or add Libraries Worldwide using Worldcat Discovery. For items MtA doesn't have, look for the ILL request link under Access Options top right. 

 

How to review / check the status of your ILL requests

  • Log in to your ILL account
  • The default view is open requests: submitted but not yet filled and items currently on loan
    • Click on the request to display full details
  • You can show all requests, or limit using options under My Requests
      ILL request statuses
  • Submitted: request has been submitted OR ILL staff are working on the request
  • In Process: ILL staff are working on the request OR it is being shipped 
  • Shipped: This status only shows when the item was supplied by an Atlantic Canada university
  • Unfilled: The request has been updated with a reject code since the item cannot be supplied 
  • Cancelled: User has cancelled the request 
  • Article Sent: request has been filled as a copy (via an email with a download link)
  • On Loan: ready for you to pick up OR you have already picked up
  • Overdue: Item is overdue
  • Renewed: renewal has been requested and approved 
  • Recalled: supplying library has recalled the item (please return promptly)
  • Complete: ILL transaction has been completed (or the ILL was lost)

 

How to request a renewal on an ILL loan

  • Email ILL a couple days prior to the due date. ILL will contact the supplying library to request and will get back to you once we receive a response. Not all libraries allow renewals, and if they do, they determine the date.

 

What if I need the loan longer

  • If the renewal isn't possible return the loan and place a new request. ILL will try to get a copy from a different library.

 

How to access delivered articles

  • Articles download notifications are emailed and the link will also display in your ILL account. Once the download link is clicked you will need to log in to your ILL account. The download button is at the top of the PDF viewer. Copies are only available for 4 days and can be downloaded 3 times. 

 

What to do when the delivered article is 'no longer available'

  • If you are still within the 14 day delivery window email ILL; ILL can resend the delivery link. You can also message ILL from within the ILL request. 
    • If past the 14 day delivery timeframe you will need to place a new ILL request. Add a note indicating another copy is needed. 

 

Troubleshooting ILL issues

If unable to access your ILL account:

  • Check your login and password info. The login is your 7 digit Student or Employee ID# (for older MtA accounts it may be your 12 //13 ?? digit barcode beginning 1200). The password is your 4 digit Library PIN. 
    • Check if you can access your library account. It uses the same login info
  • You may have overdue/lost items or late fees on your library account
  • Your library account may have expired
